Objectives of the role:
• Deliver a series of administrative tasks and driving compliance across estate (Circa200 Buildings) and Change of Contracts
• To manage and implement testing obligations and manage the process of follow on works (FOW) ensuring compliance across the Estate
• To develop an in depth understanding of regulations and the inhouse auditing platform.
This will include creating orders for external suppliers on request and managing updates where required.
• To support and advise on the compliance position of individual establishments when requested by the Operations Support team. Focused on the change of contract process
• Work collaboratively with the team to ensure compliance obligations are met.
• To support suppliers and internal Managers in the delivery of the compliance testing output within defined KPI’s

 

Key Responsibilities:
• To support the team resolving any notices or required communication with local authorities and internal Managers regarding compliance testing matters when they arise.
• To deliver the communication of statutory certification
• To support the collation of compliance certification following project works and lodging the documentation within the internal system
• To update and report via the internal tracking tool
• To provide general support to the helpdesk function as required at peak times or absence cover, when agreed by line manager
• Ensure that the statutory compliance database is maintained
• Ensure the compliance database is accurate and maintained
• Co-ordinate and ensure safety inspections are delivered on the day of change
• Co-ordinate queries and notices from local authorities and the relevant point of contact
• Ensure communication and maintenance of the dedicated compliance email account
• Authorise quotations within the agreed approval level when required
• Support the regular meetings with contractors and suppliers to review progress and KPI’s
• Managing circulation of statutory documentation and quotations as required
• Undertake basic auditing of the live data supporting the Compliance visibility and processes
• Collating and lodging certification produced following projects as required
• Create event notices via the internal system of upcoming projects and defect periods
• Work within the guidelines and maintain GDPR requirements at all times.

• Ability to co-ordinate tasks autonomously with a consistent systematic approach
• Good organisational skills and ability to work to tight timescales
• Excellent communication skills both written and verbal
• Excellent customer service
• Good team player
• Able to manage difficult conversations
• Accuracy and attention to detail
• Intermediate skill set in IT (essential)
• Excel skills (essential)
• A basic understanding of Microsoft teams (advantage)
• Flexibility to cover other department tasks or assist as required.
• Training will be provided for all systems
